Fare Guarantees: Fare is guaranteed at time of booking only when accompanied by a valid credit card payment. In the event of a credit card transaction being declined for any reason, fare is subject to change until Association Travel Concepts receives a valid form of payment. Fares that are booked on the last day to ticket, must be submitted by 2:00 pm Central Time. Bookings made after the 2:00 pm deadline can not guarantee the fare will be honored. Association Travel Concepts will rebook certain itineraries due to routing problems or schedule changes. The new itinerary will be emailed to the passenger. All changes to payment information must immediately be called in directly to Association Travel Concepts.
Association Travel Concepts and its agents endeavored to secure the lowest possible fare, suitable for your travel requirements, based on space available at the time of booking, accessible sources of information, and knowledge of agents involved.
We cannot guarantee, in viewing the deregulation of airline fares, that the fare indicated on the ticket will be the lowest possible fare at the time of departure.
Payment: We accept the following credit cards: American Express, Visa and Mastercard. Discover Card is accepted by some major airlines but not all of them.
Payment by Check: Check payments, unless approved prior to ticketing must be done in person at our office and reservations will be held for 24 hours, or on weekends until 12:00 noon on Monday. If a payment is not received the reservation and ticket will be canceled.
Cancellations: All tickets are non-refundable, for cancellation fee, check the policy on your reservation at the time of booking.
Service Charges: There is a $12.00 service fee for each reservation made through our Meetings Air online reservation tool found at the following URL: http://atc.travelasp.com/flights/default.asp We reserve the right to charge a processing fee in the event of a refund or cancellation in addition to any charge imposed by airlines, hotels, tours, cruise companies or any other travel provider.
Name Changes: Name changes are not permitted. Please verify the accuracy of all information before submitting a booking for ticketing. It is the responsibility of the traveler to ensure the accuracy of information supplied. To avoid errors, it is suggested that the passenger's names and ages be matched and double-checked against the traveler's passport/driver's license information at the time of booking.
Frequent Flyer/Special Meal or Seating Requirements: Once booked and ticketed, it is the responsibility of the passenger to contact the airlines to give Frequent Flyer account information, request special meals, or to arrange seating.
Documents: It is the responsibility of the passenger to ensure they have government issued identification for domestic travel and valid passport and entry visas obtained for all foreign destinations.
Check-In: Minimum check-in time for domestic flights is 1 hour; 2 hours for international flights. Picture I.D. required on all flights.
Reconfirmation: Reconfirm the use and time of flights at least 24 hours prior to departure for domestic U.S. flights; Reconfirm international flights at least 72 hours prior to departure. Reconfirmation is mandatory in Florida, Canada, Mexico, Hawaii and all international destinations. Failure to reconfirm may result in the loss of your reservation. Failure to use any reservations may result in automatic cancellation of all continuing and return reservations.
IMPORTANT!! If you arrive at an airline passenger check-in counter with your confirmed ticket and find that the airline shows no reservation for you - do not leave the counter. Check your ticket, if the status box shows "OK" for the flight in question, the airline must accommodate you on that flight, or if that is not possible, they must either find you a substitute flight or pay you denied boarding compensation. If necessary ask to speak to a supervisor.

We shall not be responsible for any injuries, damages, or losses caused to any traveler in connections with terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, abnormal conditions or developments, or any other actions, omissions, or conditions outside our control.
The traveler assumes complete and full responsibility for and hereby releases the agent from any duty of checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety and security conditions of such destinations, during the length of the proposed travel.

By embarking upon his/her travel, the traveler voluntarily assumes all risks involved in such travel, whether expected or unexpected. The traveler hereby warned of the above risks as well as possible travel industry bankruptcies and medical and climatic disruptions, and is advised to obtain appropriate insurance coverage against them, which is available at an extra cost through Association Travel Concepts.
